CPW2 Forms

CPW2 Forms is part of the Laurel Church of Christ's video workflow. It is an internal tool, used only by the church's media volunteer on the church's workflow computer. It is not a public service and has no other users.

What it does

Teachers and preachers send their class forms and slide decks by email, or share a deck by a Google Drive link. CPW2 Forms reads that week's messages to find each program's form and deck: the title, the presenter, the scripture and the deck file. It uses them to prepare the program's video page for the volunteer's review.

What it can access

The tool signs in with the volunteer's own Google account and asks for read-only access:

  • Gmail (read-only): to find and read the week's class forms and deck emails, and to download their attachments.
  • Google Drive (read-only): to download a deck the presenter shared with the volunteer by a Drive or Google Slides link.

It cannot send, change or delete email, and it cannot change or delete any Drive file.

A separate app

CPW2 Forms is separate from the church's YouTube publishing tool, Church Podcast Workflow. Each has its own Google sign-in, and neither can use the other's access.

CPW2 Forms privacy policy

CPW2 Forms is an internal tool of the Laurel Church of Christ. It is used only by the church's media volunteer, with the volunteer's own Google account, to prepare the church's sermon and Bible class videos.

Information the application accesses

With the volunteer's authorization, CPW2 Forms has read-only access to:

  • Gmail: the messages and attachments in the volunteer's mailbox. It searches only the days around each week's services, for class forms and slide decks.
  • Google Drive: files the volunteer can open, used only to download a slide deck a presenter shared by link.

How information is used

  • Messages: from each message in that window, the application reads the sender, date, subject and text, the names of its attachments and its links. It uses them to find each program's form and deck and to read the program's title, presenter and scripture.
  • AI service: that message information is sent to an AI service, the OpenAI Codex command-line tool, which matches each message to its program. It is processed only to provide this feature. It is not used to train or improve AI models.
  • Decks: a downloaded deck is kept with that week's program. When the volunteer approves the program, the deck is published with its video on the church's YouTube channel and file share, as the presenter intended when sending it.
  • Nothing else: Google user data is never sold, used for advertising, used to build profiles of anyone, or used for any purpose other than preparing the church's own videos.

Storage and security

  • The sign-in: stored as a file on the church's workflow computer, outside source control and logs. It can be withdrawn at any time in the Google account's security settings.
  • What is kept: the week's form details and decks are stored on that computer with the program they belong to. Message contents are not written to logs or to source control.
  • Connections: all go over HTTPS.

Sharing

Google user data is shared only as follows:

  • with the AI service described above, to match messages to programs;
  • the approved decks, published as described above;
  • when required by law.

Limited Use

The Laurel Church of Christ's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
